Sample Approval Before a Volume Power-Equipment Order
How wholesale buyers can approve product configuration, artwork, accessories, packaging, and inspection criteria before a volume order.

Define what the sample is meant to approve
A technical sample, an appearance sample, and a final branded sample may answer different questions. Before shipment, list which decisions the buyer expects to make and which items remain open.
Identify the model, electrical version, hardware and firmware reference when relevant, included accessories, label version, manual, and packing state. Do not treat unreviewed options as approved because they share the same product name.
Agree on acceptance criteria
The review plan should state which features will be measured, inspected, or used under load. Electrical values need test conditions; artwork needs a file or color reference; packing needs an item list and layout.
- Separate mandatory failures from comments and future improvements.
- Record the measurement method for critical values.
- Confirm whether the sample can become the reference for incoming inspection.
Close every deviation
For each issue, record the affected item, evidence, proposed correction, owner, and decision. If a correction changes price, timing, documentation, or another approved feature, those effects should be reviewed before the order is released.
Freeze the production reference
After approval, link the sample record to the approved datasheet, bill of materials where applicable, artwork, accessory list, and packing instruction. Every file should carry a version or date.
A sample reduces risk only when it produces a clear production reference. Physical appearance alone does not define the complete order.
